UI Fix licensing & authentication · Last updated 10 July 2026

This policy explains how Polaflex Media LTD handles personal data in connection with licensing and authenticating the UI Fix add-on. It does not cover Patreon, whose own privacy policy governs your Patreon account, payments and membership.

1. Who we are

UI Fix is operated by Polaflex Media LTD, a company registered in England & Wales ("we", "us", "our"). We are the data controller for the personal data described below. For any privacy matter, contact us at hello@polaflex.com.

2. What data we collect, and where it comes from

When you authenticate UI Fix by signing in with Patreon and clicking "Allow", Patreon shares a limited set of information with us. We also record a small amount of technical data needed to license the software to your devices and to keep the service secure.

DataSourceWhy
Patreon user IDPatreonThe stable identifier that links you to your licence on every sign-in.
Name & email addressPatreonTo identify you and provide support.
Discord ID (only if you've connected Discord to Patreon)PatreonTo reach you for support on our Discord.
Membership tier, status, pledge amount & charge datesPatreonTo check your membership qualifies for access.
Device fingerprint (a hashed hardware identifier)Your device, via the add-onTo bind your licence to your devices and enforce the per-account device limit.
Device check-in timesYour device, via the add-onWhen each of your devices last used the add-on, so we can manage your devices and licences and spot unusual activity.
IP addressYour connectionUsed only for security, abuse prevention and rate-limiting, and automatically removed shortly after.

We may also keep brief internal notes against your account (for example, a support note) and a record of whether your Patreon membership qualified when you signed in.

We do not collect: your payment card details (Patreon processes all payments), and we do not store information about other creators you support on Patreon.

3. Diagnostic reports (optional, and only if you send them)

UI Fix includes a "Report an Issue" tool. When you click it, the add-on saves a diagnostic file to your own computer (in the UIFix Logs folder next to the add-on). Nothing is uploaded automatically - we only ever see a report if you choose to send it to us, for example through Discord or email.

So that we can fix problems in one round-trip, a report contains:

Reports contain no account details. File and folder names can occasionally reveal personal information if you have named them after yourself - feel free to review the file (it is plain text) before sending it. If you do send us a report, we use it solely to investigate your issue (legal basis: legitimate interests in providing support, and your action of sending it) and delete it once the issue is resolved.

4. Why we use your data and our legal basis

We do not use your data for advertising, and we do not sell it to anyone.

5. Who we share it with

We share data only with the service providers ("processors") that run UI Fix on our behalf, under contract and only as needed:

6. Where your data is stored

Your data is stored in the European Union (Stockholm, Sweden). As a UK company, any transfer of data between the UK and the EU relies on the UK Government's adequacy decision for the EEA, which permits these transfers without additional safeguards.

Some of our processors may handle limited technical data (such as your IP address) on infrastructure outside the UK and EEA, for example Cloudflare, which delivers these pages. Where that happens, the transfer is protected by appropriate safeguards, such as the UK International Data Transfer Agreement or the EU Standard Contractual Clauses, under that provider's data processing terms.

7. How long we keep it

We keep your account details, devices, device check-in times and licences for as long as you hold an active licence with us. If you sign in but do not qualify for access, we keep a minimal record (so we can recognise returning members and prevent abuse) for up to 12 months, after which it is deleted automatically, unless you ask us to remove it sooner. Your IP address and rate-limiting data are removed shortly after they are used. You can ask us to delete your data at any time (see below).

8. Your rights

Under UK and EU data protection law you have the right to: access your data; have it corrected; have it erased; restrict or object to its processing; and receive a copy in a portable format. To exercise any of these, email hello@polaflex.com and we will respond within one month.

9. Questions & complaints

If you have any questions or concerns about your data, please email us first at hello@polaflex.com and we will do our best to put things right. You also have the right to lodge a complaint with the UK's Information Commissioner's Office (ico.org.uk), or your local data protection authority if you are in the EU, though we would appreciate the chance to resolve it with you directly.

10. Changes

We may update this policy from time to time. The "last updated" date above shows the latest version.
